Connect your email mailbox

Connect Gmail or any mailbox with SMTP and IMAP so customer emails land in the Juno inbox, and set the sender name, footer and daily sending allowance.

How-to

On this page

Connecting a mailbox brings customer emails into the same inbox as your chats, and sends your replies from your own address. Juno does not give you a new email address — it signs in to the one you already have.

Before you start

Pick the mailbox customers already write to, such as hello@yourshop.com. A shared address works better than a person's own inbox, because everything in it will be visible to your team in Juno.

Then have one of these ready:

  • Gmail or Google Workspace — you can sign in with Google, or use an app password. An app password needs 2-Step Verification turned on for that Google account.
  • Any other mailbox — the outgoing (SMTP) and incoming (IMAP) server names and ports, and the username and password. Your email provider publishes these. For Microsoft 365 you will usually need an app password, not the normal one.

Connect Gmail

  1. Go to Channels, choose Connect channel, then Email.
  2. Under Which mailbox, choose Gmail.
  3. If you see Sign in with Google, use it:
    • Sign in to Google and choose the mailbox.
    • Google will say it hasn't verified this app. That is expected while Google reviews Juno's Gmail permission — choose Advanced, then continue to Juno.
    • Leave both permissions ticked. Unticking either connects a mailbox that cannot send or cannot receive.
  4. Or, below or use an app password, enter the Gmail address and an App password. Create an app password takes you to the right page in your Google account. It is 16 characters and is not your Google password. Juno fills in Google's server settings for you.

Connect any other mailbox

  1. Go to Channels, choose Connect channel, then Email.
  2. Leave Which mailbox on Other mailbox.
  3. Fill in Send from, Outgoing server (SMTP) and its port (usually 587), Incoming server (IMAP) and its port (usually 993), Username and Password.
  4. Choose Connect mailbox.

Juno signs in to both servers before saving anything, so a wrong password or server name is caught now rather than when the first customer writes. If it fails, the message shown is the mail server's own answer — usually a password or server name problem. The password is stored encrypted and never shown again; to change it later, disconnect the mailbox and connect it again.

What happens next

  • New mail is checked about once a minute and appears in the inbox as a conversation with the subject line on top.
  • Old mail is not imported. Juno starts from the moment you connect, so your inbox is not flooded with years of history.
  • Replies go out from your mailbox, as proper replies, so the thread stays together in the customer's email app.

To check it works, send an email to the address from a personal account, then reply from the Juno inbox.

Set up the mailbox

Open the mailbox from Channels to find these settings.

Sender name and footer. The Sender name appears next to your address in the customer's inbox — "Acme Support" rather than a bare address. The Email footer is plain text added under every email sent from this mailbox: your replies, the AI's answers and campaigns. It is added as the email goes out, so you will not see it repeated in the inbox thread.

Who the AI answers. A shared mailbox gets suppliers, landlords and job applicants as well as customers. By default, the AI replies only to ongoing conversations, and a first email from a new address waits for a person. Turn on Let the AI answer people who have never written before if you want it to answer those too.

Sending allowance. A brand-new sending address that suddenly sends in bulk is how mail ends up in spam. So a new mailbox warms up, from 10 proactive emails a day to 50 over its first 30 days, counted over a rolling 24 hours. This applies to campaigns and other automated email only — your team's replies to customers are never held back by it. Once the address has a sending history, you can set your own Daily cap.

Working email in the inbox

  • Images are blocked until you choose Show images. Loading them tells the sender you opened the email, and in a shared inbox that should be a deliberate choice.
  • You can attach a file to a reply with the paperclip — one file per email, up to 10 MB, and whatever you type goes out as the email's text, in the same thread and with your footer. Customers' attachments arrive as usual.
  • Long quoted history is trimmed from replies so each message shows what was actually said. Forwarded emails are kept whole.

For writing one personal email to each of a list of contacts, see Email outreach in the navigation. It sends through this same mailbox and follows the same daily allowance.
